Viewing programs of study for a student

View the programs of study for a student. Use these programs and students' completion of them to determine their readiness for graduation. By default, all programs of study created in the District view apply to all students.

You can also determine requirement waivers – reasons a student might not have to complete a requirement within a program of study. Waivers can be applied to graduation requirements in lieu of credits.

Note: If you prefer, you can view students' progress toward fulfilling their graduation requirements as a group.

To view programs of study for a student:

  1. Log on to the School view.
    Note: Students can view their programs of study in the Student portal.
  1. Click the Student tab.
  2. Find and select the student.
  3. Click the Transcript side-tab, then click Programs of Study. Any programs already assigned to the student appear.
  4. To view a program's details, click its name. The total number of credits the student needs to earn, the type of diploma the student earns, and the description appear.
  5. Select the Is primary? checkbox if more than one program is assigned to the student, and you want to determine which is primary. In the Requirement Waivers box, you can define any exceptions to the requirements in the program.
  1. Select a waiver to edit its details, or click Add to add a waiver. The Graduation Student Waiver pop-up appears.
  2. Use this table to enter information in the fields:
  • Field Description

    Graduation Requirement > Code

    Click  to select the graduation requirement that will receive a full or partial waiver, and then click OK.

    Graduation Requirement > Required unit The number of units needed for the selected requirement appears. The number is set by the district on the "Programs of Study Requirements" page.

    Graduation Requirement > Type

    The type of requirement appears. This type is set by the district on the "Programs of Study Requirements" page.

    Graduation Requirement > Description

    A description of the requirement appears. This description is set by the district on the "Programs of Study Requirements" page.

    Credit Waived

    Enter the number of credits to waive for this requirement.

    Reason

    Enter a reason for the waiver.

    Redistribution type

    Select where you want the waived credits to go: 
    • None is the default. Aspen will not apply the credits to another requirement.
    • To indicate the requirement you want to apply the credits to, select Single.
    • If you want Aspen to determine which requirement to assign the credits to, select Any.

    Redistribution Requirement > Code

    Appears when the Redistribution type is Single. Click

    to select the graduation requirement to apply the waived credits to.

  1. Click OK to close the pop-up.
  1. Click Save. Then, view the student’s progress in fulfilling the requirements associated with their programs of study.
