View graduation requirement status for a student

You can view a student’s status in completing a program of study. You can also forecast a student's graduation progress as of a future date.

Note: If you want to include a student's schedule requests in the forecast, go to the School view, Student > Schedule > Graduation Progress.

To view a student’s status:

  1. Log on to the District, Intermediate Organization, School, or Build view.
    Note: Students can view their graduation summary in the Student portal.
  1. Click the Student tab.
  2. Find and select the student.
  3. Click the Transcript side-tab, then click Graduation Summary.
  4. At the Programs of Study field, select the program you want to view the status for. The student's graduation summary appears as of today's date:
  • The top of the page displays the Code, Description, Required unit, Credits waived, Unit completed, and Completed Status for every requirement in the program. The Completed Status column shows the percent of credits earned.
  1. To forecast a student's graduation progress as of a future date, such as the end of the school year, enter that date at View Summary Status as of Date. The page shows all in-progress courses as if they were completed, with credits assigned.

    Example: At the beginning of the school year, a student takes Calculus I, a four-credit, full-year course. She has already completed 20 credits towards the 24-credit math requirement. If you enter 6/20/18 here (the end of the schedule term), a checkmark will appear in the Completed Status column, since Aspen assumes the student will pass Calculus I and receive full credit.

    Note: Your system administrator can update the student.std.list.gradProgress template to customize the information that appears in the student information box.
    Note: If a student completes more than the required credits for a graduation requirement, the Unit completed column displays both the total number of credits earned and the extra credits earned. If a checkmark appears in the Excluded column, Aspen does not include the units completed for that requirement in the total.
    Example: If a student earns 26 credits for a requirement, of which 15 are required, the Credits completed column displays 26 (11). This indicates that the student completed 26 credits, of which 11 are extra. The system uses the total number of credits gained for each requirement to calculate the total number of credits earned towards graduation.

    Note: Credits that were waived from one graduation requirement, and applied to a different graduation requirement, appear in the Credits waived column. Hover over the Bookmark icon in the Required Unit column for details on how the credits were distributed.

  1. At the top of the page, click Printer Friendly Version to print the information.
  • The bottom of the page provides the Course Breakdown, which breaks each requirement into the courses attached to it, and the student's status in completing those courses:
  • The Course Breakdown also displays columns, or fields, of information about each course attached to a program requirement. Some of these fields appear by default, while others can be specified to appear by your system administrator. The following fields are included by default:

    • The Equivalent content code column displays the content code assigned to that record if the student transferred the credits from that course from a different school.
    • The Included column indicates if the units earned in the course apply to the credits gained total.
    • The Credits Gained (Credits Total) column displays the number of credits earned by the student that count towards the requirement total. For example, if 0.4(1.0) appears, the student earned 1.0 units for the course, but only 0.4 credits are counted toward that requirement total, as needed.
  1. Do any or all of the following:
    • To view the Course Breakdown without those courses that also apply to another requirement, click Hide courses counted by another requirement.
    • To have completed courses whose credits exceed the Required unit amount appear on the Course Breakdown - Exceeding Credits sub-tab, click Hide courses in excess of requirement.
    • To view the Course Breakdown with transcripts that are marked as excluded, click the Course Breakdown - Excluded Credits sub-tab.
    • To view the list of courses that the student has gained credit for, but that do not apply to the selected program of study, click Course - No Requirement Contribution.
