Hide a reference code

Some reference codes might only relate to particular schools. For example, the Academic Codes reference table contains four codes: College, Honor, Standard and Vocational. You might want to hide the Vocational code from some schools in your district because it does not apply to them.

Note: Users need the appropriate security privileges to create and manage reference codes. See your Aspen system administrator for more information.

To hide a reference code:

  1. Log on to the District, Intermediate Organization, School, Health, or Special Education view, and click the Admin tab. Or, log on to the Build view and click the Global tab.
  2. Do one of the following:
    • In the District, Intermediate Organization, Health, or Special Education view: Click the Data Dictionary side-tab, then Reference. The Reference Tables page appears.
    • In the School or Build view: Click the Reference side-tab. The Reference Tables page appears.
  1. Select the checkbox next to the desired reference table.
  2. On the Reference side-tab, click Codes. Any existing codes for that table appear.
  3. Click the code you want to hide.
  4. Click the Hidden By sub-tab.
  5. Click Add.
  6. In the Owner column, click Search icon.. The Organizations Pick List appears.
  7. Specify the owner at the Owner Type drop-down.
  8. If you choose an intermediate organization or Schools as the owner type, select the specific organization or school where you want to hide the code.
  9. Click OK.
  10. To add another intermediate organization or school, repeat steps 9 -11.
  11. Click Save.
