Add student requests for an entire selection or snapshot

Many students, such as freshmen or students on a special track, might need to request the same courses. Therefore, you can easily add requestsClosed courses that students have requested to attend for the next school term by course number for a group of students you select or an entire grade level or snapshot.

Notes:

  • Guidance counselors need to have a modified schedule builder role to be able to mass-add requests. See your Aspen system administrator for more information.
  • Keep in mind that any information on the Global tab– including requests–is shared across all of your scenarios. Do not delete course requests here.

To add student requests for a selection of students or a snapshotClosed a static picture of a particular group of records that you can file and easily retrieve:

  1. Log on to the Build view.
  2. Click the Global tab.
  3. Click the Requests side-tab.

Note: You can also click the Student tab or the Courses tab. Then, select the appropriate students or courses, and click Show Selected on the Options menu. After you click Multi-Add on the Options menu, select Current Selection to enter requests for the students or courses you selected.

  1. On the Options menu, click Multi-Add. The Multi-Add Request pop-up appears:
  1. Select one of the following:
    • Selection: The list of students appears. Select the students you want to enter these requests for, and click OK.
    • Grade level: The list of grade levels appears. Select one or more grade levels to enter the requests for, and click OK.
    • Note: You need to select the current grade level that the students are in. For example, if you want all ninth graders to take gym and health next year, select the Eighth Grade checkbox.

    • Another course: The School Course pick list appears. Select a course. For example, maybe all students enrolled in MCAS English also need to take MCAS Skills.
    • Snapshots: The Snapshots pick list appears. Select the snapshot that includes the students you want to enter these requests for, and click OK.
    • Section: A list of sections from the current year's schedule appears. To see selections from the student's next school, select that school from the School drop-down. Select one or more sections of students to enter the requests for, and click OK.
  2. Example: Maybe all students currently enrolled in 9th grade honors English need to take 10th grade honors English next year.

  1. The Multi-Add Request pop-up displays the number of students you selected.

  1. In the Request Attributes box, you can do any of the following to specify details about the requests you are entering:
    • Select the Is alternate course checkbox if the request(s) are alternate requests.
    • Select the Is inclusion section checkbox if the request(s) are inclusion requests. For example, if these students require English inclusion, you would select this checkbox.
    • In the Section type field, select a specific section type.
  1. In the Course number field, do one of the following:
    • Type the course numbers you want to request for these students, separated by commas.
    • Click Select to select the courses from the School Course pick list.
  1. Click Save. The system enters the course requests for the students.
  2. To edit any of these requests for a student, click the student’s name.
