Use existing Guided Tasks

Aspen's Guided Tasks help you set up and manage various system processes and proceduresClosed used for data manipulation or operations, such as running GPAs, such as configuring grades, attendance, and more. Guided Tasks are essentially a type of workflowClosed a method of coordinating multi-step processes involving one or more users with additional capabilities.

A Guided Task includes a checklist of steps needed to complete a process or procedure, such as configuring grades. When you start using a Guided Task, a workflow is kicked off and is represented by a checklist for you to complete.

The Guided Tasks that are currently available help you complete the following processes:

  • Set up conduct features (from District view)
  • Prepare for grade reporting (from School view)

Contact Technical Services for help on downloading these Guided Tasks from Pando and importing them into your district's database.

Guided Tasks can be used from:

  • District view: District > Setup > Guided Tasks
  • School view: School > Setup > Guided Tasks

To use a Guided Task:

  1. Do one of the following:
    • Log on to the District view. Click the District tab, and under the Setup side-tab, click Guided Tasks.
    • Log on to the School view. Click the School tab, and under the Setup side-tab, click Guided Tasks.
  1. Select the checkbox for the Guided Task you want to use, and click Checklist under the Guided Tasks side-tab. The checklist appears.
  1. Select the Show instructions for all tasks checkbox to display detailed instructions for each step.
  2. To start using the Guided Task, click the first step on the checklist. The checklist now displays in a separate window on the right. The main Aspen window displays the page where you complete the step.
  3. On the checklist, read the detailed instructions under the step you are completing and if needed, refer to online help for further instructions.
  4. When you complete the step in Aspen, go back to the checklist and click I’m finished with this task. This puts a checkmark on the step to indicate it is completed.
  5. Click the next step in the checklist. The main Aspen page changes to the next location in Aspen where you complete this step.
  6. Continue going down the checklist and completing the steps. If you want to stop working on the checklist at any point, either close the checklist window, or click Close and return to Guided Tasks tab. The status of completed items will remain on the checklist so you can complete them another time.
  7. If you’d like to return to a step you’ve completed, click before the step, and click Uncheck. This clears the checkmark and displays the detailed instructions under the step again.
