Run state reporting validation reports

Before you export your district’s data, run the validation report to view any errors or inconsistencies in your data, according to your state’s regulations.

For example, before you export your MA EPIMS Staff Roster Export, run the MA EPIMS Staff Roster Export Validation report. The report lists, by record, any fields associated with the export which contain data that will not be accepted by the state.

For each record (student or teacher), the report displays the following columns:

Field

Lists the state’s name for the field in parenthesis, then your name for the field. For example, (WA10-SFP) Subject Area.

Error

Explains why the field appears on the error report for this record, such as the value being too short, invalid, or not possible due to the values entered in other related fields.

Example: Classification WA07and Assignment WA08, subject WA10 cannot be a core academic subject. This error indicates that the value in WA10 is invalid because of the values in WA07 and WA08.

Detail

Lists the values in the fields involved in the error, as described in the Error column.

Use the information in the report to correct any errors in the fields you are going to export to the state. After you edit information in the fields, run the report again.

Running these reports reduces the number of times your district will need to submit this information to the state.

To run the validation reports:

  1. Log on to the District view.
  2. Select Tools > Reports.
  3. Find and select your state’s validation reports, and click Details. The report names begin with your state’s abbreviation.
  4. Select Options > Run. A pop-up containing the specific report parameters for that report appears.
  5. Enter the report’s parameters, and click Run.
