End-of-Year Wizard, Step 6: Update grade levels

Step 6 of the End-of-Year Rollover wizardClosed a sequence of dialog boxes which walk a user through a potentially complex task, such as the Build Study Locations wizard updates students’ grade levels. For example, Aspen can change/promote all Grade 9 students to Grade 10 students. You select the grade level to promote the students into for the following year.

This step is optional. Deselect the Update grade levels checkbox if you do not want to execute this step.

This step does the following:

  • Affects active students in an active, non-archive school.
  • Updates the grade levels for affected students based on their existing year of graduation and the selected school year from Step 1 of the End-of-Year Rollover wizard.

To update grade levels:

At the Multi-grade YOGs field, the system lists the years of graduation that map to more than one grade level for the selected school year from Step 1.

Grade level reference codesClosed codes used to validate the options users can select from at fields are associated with a numeric level. To set numeric levels:

  1. Log on to the District view.
  2. Click the Admin tab.
  3. Click the Data DictionaryClosed organizes the tables and fields that house all of your district's administrative information side-tab, and then click Reference.
  4. Find and select the Grade Levels reference table.
  5. On the Reference side-tab, click Codes.
  6. On the Options menu, click Modify List to edit the values in the Numeric Level column.

    Note: If you don't see this column, you may need to change your field set Field set menu icon. for the Numeric Level or Numeric Grade Level column to appear. See Create or Edit a Field Set.

    Not every grade level code requires a numeric level, and multiple grade level codes can share the same numeric level. Here is where you will set the grade levels that appear in the End-of-Year Rollover wizard.

    When running the EOY rollover:

    For grade levels that have the same numeric level equivalent, such in the above table KF(kindergarten full-time) and KP (kindergarten part-time), you must select one of those grades to promote incoming kindergarten students into; then, after the EOY rollover is run, you may need to manually adjust the grade levels.

  1. Click Next to move to Step 7 of the End-of-Year Rollover wizard.
