Implement IEP and send notification emails

When you implement the IEPClosed Individualized Education Program from the workflowClosed a method of coordinating multi-step processes involving one or more users, you have the option of notifying the student’s team members and current teachers via email that the IEP has been implemented. These notification emails have been set up by your Aspen system administrator and are automatically sent to the group when you complete this workflow step.

Following is the default email, which Aspen system administrators have the option of editing:

[school_district] is sending this electronic notification to inform you:

[student_name]'s IEP is now active. You are required to be familiar with the IEP and to assist the student in meeting the goals, including the implementation of any modifications specified in the student's IEP.

Please take a few minutes to review the now active IEP Plan at your earliest convenience.

Note: Depending on your district’s or school’s workflow, the process of implementing an IEP might be slightly different.

To implement an IEP and send out the notification emails:

  1. Log on to the Special Education view.
  2. Click the IEP tab.
  3. Select the IEP you want to finalize, and click the Workflows side-tab.
  4. Select the workflow you want to finalize, and click Checklist.
  5. A phase name called something similar to Implement IEP will be listed. Click the phase name, and click one of the following:
    • Complete and notified by email: This finalizes the IEP and automatically sends the email set up by the Aspen system administrator to the student’s IEP team and current teachers.
    • Complete: This finalizes the IEP, but does not send the notification email.
  1. Type a date, or click Select Date icon. to be listed as the date the IEP was implemented. The email is sent immediately, regardless of the date you select.
  2. Click OK.
