Define compliance rules for workflows

Define compliance rules for a workflow to determine the time period a phase must be completed in order to remain compliant.

For example, for the Initial Referral special education workflow, the IEP Parent Signature – 30 days compliance rule exists. This rule determines that a workflow phase is overdue, or out of compliance, if the parent signature is not received within 30 days from when the IEP was submitted for approval.

Note: Being overdue or out of compliance does not prevent a workflow from being completed. The system provides a warning and keeps a record of any phases that do not meet compliance criteria.

To define compliance rules for workflows:

  1. Log on to the District view.
  2. Click the Admin tab.
  3. Click the Workflows side-tab.
  4. On the Workflows side-tab, click Compliance.
  5. On the Options menu, click Add. The New Workflow Compliance Rule page appears:

    Name

    Type a name for the rule.

    Description

    Type a description for the rule.

    Workflow Phase > Name

    Click Search icon. to select the workflow phase you are defining the rule for.

    Days to complete

    Type the number of days from the trigger outcome date users have to complete the phase before being out of compliance.

    Warning threshold

    Type the number of days from the impending due date that a warning appears next to the phase of the workflow. This warning disappears after the time period expires.

    Day type

    Click this drop-down to select one of the following:

    • Select School day to count the days due by school days only. If a student is the subject of the workflow, the system uses the student’s school calendar. If a staff member is the subject of the workflow, the system uses the district calendar.
    • Select Calendar day to include weekends or other non-school days when calculating the date due.

    Trigger > Phase > Name

    The name of the phase associated with the value in the Trigger > Outcome field appears.

    Trigger > Outcome

    Click Search icon. to select the actual outcome that triggers the rule to be in effect. For example, the days countdown might not begin until the outcome for the trigger phase is Complete.

    Disabled?

    Select this checkbox to disable a compliance rule.
