Define specific information for sections before you build

Before you build your master schedule, you can assign information such as teachers, terms, rooms, and schedules to course sections.

Note: You need to initialize course sections to appear on the Workspace tab before you can define specific section information, or else it will be blank.

To define specific section information before you build:

  1. Log on to the Build view.
  2. Click the Workspace tab.

Note: You can also use Mass Update on the Options menu to define the same information for several sections. For example, if you want to assign the same teacher to several sections of a course, select the sections and click Show Selected on the Options menu. Then, use Mass Update on the Options menu to enter the teacher in the Teacher field for all of the selected sections.

If the field you want to mass update does not appear as a selection here, it might not be enabled for mass updateClosed permanently change one set of values to another set of values for the same field.

  1. Click the section number you want to define information for. The Details page for that section appears.
  2. Use the following table to enter information in the fields:

    Number

    The course number appears.

    Description

    The description of the course appears.

    Master type

    The type of course section appears:

    • Class
    • Activity
    • Duty
    • Study
    • Package

    Note: The system only schedules sections with the Class type.

    Section number

    The section number appears. You can edit this number.

    Staff > Name

    If you want to assign a teacher to this course section before the system builds the master schedule, select a staff member.

    Note: You can assign more than one teacher to a section. For example, if a section is co-taught by a teacher you can assign the other teacher. Click Teachers on the Details side-tab to define the other teacher(s).

    Additional Staff for Split Select additional teachers to use Split resource mode when assigning teachers to this section.

    Build Class > Identifier

    Type one of the following:

    • An identifier to group sections that happen in the same room and at the same time into a class together.
    • If you select the Is inclusion section checkbox, type an identifier for the section. Then, type the same identifier for the section you want to link this inclusion section to. For example, assume this section is an inclusion section for Reading, and only special education students enroll in it. You can link this section with the other Reading section that is taught by the same teacher at the same time in the same room by entering the same class identifier for both sections.

    School Room > Number

    If you want to assign this course section to a room before the system builds the master schedule, select a room.

    Schedule Term > Code

    If you want to determine the schedule term during which this course section will meet, select the schedule term.

    Schedule

    If you want to determine the actual schedule of this course section (the terms, days, and periods it meets), click Edit Schedule. The Schedule pop-up appears:

    Select if you want the schedule to be the same or different across schedule terms.

    Also, select the Use multiple rooms checkbox to schedule the section in different rooms each period.

    System Rank

    The rank the system applied to this section in the last build appears. The rank represents the order in which the system schedules the section in the build, and is based on course restrictions.

    Prescheduled room

    If you want to preschedule the room you select for this section at the Room field, select this checkbox. Otherwise, the system can change the room each time you build.

    Prescheduled term

    If you want the system to preschedule this section in the term you select at the Schedule term code field, select this checkbox. Otherwise, the system can change the schedule term each time you build.

    Prescheduled schedule

    If you want to preschedule the schedule you select for this section at the Schedule field, select this checkbox. Otherwise, the system can change the schedule each time you build.

    User rank adjustment

    Type a value that determines the order in which the system schedules this section.

    You need to type a value only if you have a rare instance in which the system-generated rank does not reflect the most optimal scheduling order.

    Note: You must calculate the course rank to view the section’s current rank to determine the value you should enter.

    Team

    If this section is assigned to a team, select the team.

    House

    If this section is assigned to a house, select the house.

    Section type

    If this section is for a particular group of students among all students requesting the course, select the section type. For example, you might select Bilingual for a bilingual section of History.

    Platoon

    If this section is for a specific platoon, select the platoon.

    These fields appear if you have set them to appear in the scenario's preferences.

    If you select that the section is assigned to a team, house, platoon, or section type, you need to identify how you want the system to schedule students into the section based on the team, platoon, section type, or house they are assigned to. To do so, select one of the following for each:

    • Exclusive: Only students with a group code (team, house, section type, or platoon) that matches the section can be scheduled into the section. For example, assume you assign this section to team A at the Team field. The system can schedule only students on team A in this section. Students with a specific team code will be scheduled in only sections with that code; each section will include only students on that team.
    • Open: The system can schedule both students with and without a matching group code in this section. For example, the system can schedule both students on team A and students without a team assignment in this section. If Allow percentages for additional section types is selected in your scenario preferences, you can set a percentage of students of a section type allowed in the section.
    • Mixed: The system can schedule both students with a matching group code and a different group code in this section. For example, on team A and team B in this section, but not students without a team assignment. If Allow percentages for additional section types is selected in your scenario preferences, you can set a percentage of students of one or more section types allowed in the section.
    • Unrestricted: The system can schedule any student in this section, including students on team A, B, or without a team assignment. The system schedules students with the same team as the section first.

    Note: If you do not make a selection at this field, the value is Exclusive.

    Is section scheduled?

    After the system builds the schedule, this checkbox is automatically selected to lock this section. Then, if you run the build again, the system does not attempt to reschedule this section. See Lock Specific Sections on the Workspace.

    Exclude from build

    Select this checkbox if you do not want the system to schedule this section. For example, assume the system keeps stopping at this section and you cannot figure out the reason. Rather than completely stopping at this point, select this checkbox for the section, and continue building other sections.

    Enrollment maximum

    The enrollment maximum you define for a course appears. You can type a different maximum number of students the system can enroll in this particular section of the course, if necessary.

    Enrollment total

    After the system builds the schedule, the total enrolled in this section appears here.

    Is section closed at max enrollment?

    After the system builds the schedule, it selects this checkbox if this section is closed because it is full.

    Is inclusion section?

    Select this checkbox if this section accepts inclusion students. Both regular and inclusion students can be scheduled into the section.

    Study criteria

    If this section is a study hall, you can limit the students who can enroll in the study by year of graduation or section enrollment. Type Y: (yog), ( … to limit years of graduation. Type S: (section number), (section number), … to limit sections.

    For example, if you want the system to schedule only seniors in this study hall, type Y:2010. If you want the system to schedule only seniors and juniors, type Y:2010, 2011.

    If you want the system to schedule only students already scheduled in course section 100.1, type S:100.1.

    Split resource mode

    If you want Aspen to assign several teachers to this course section, select the teachers at the Additional staff for split field, and leave this field blank.

    Schedule Rotation > Identifier

    Type the rotation ID for this course.

    Track ID

    If you rotate your master schedule, type the value you use to identify the schedule track when the rotated schedule is too complicated.

    For example, a school with schedule day and periods A(1-6) might become A(1) B(2) C(3) D(4) E(5) F(6) when rotated. The school could refer to the new schedule as Track A. The schedule day and periods B(1-6) might become B(1) C(2) D(3) E(4) F(5), and could be referred to as Track B.

    Note: If you select any of the Prescheduled checkboxes, the corresponding fields appear in red on the list to indicate that this section is prescheduled.
