Copy the District course catalog

The district course catalog is the starting point of all scheduling – it is the master list of all courses offered in your district. The school course catalogs are subsets of the district catalog, and will inherit fields from the district copy.

You do not have to create a course catalog from scratch when you build next year’s master schedule; copy the courses your district offers this year to next year, which is your build year. Because a new catalog is created and managed each year, the integrity of your past school year's data is preserved.

Important: If you want to create any new courses for next year, wait until after copying your course catalog. Aspen can only copy to an empty course catalog.

Note: A course has to exist in your district course catalog in order to include it in your master schedule. If you delete a course from the district course catalog, schools and the build can't access it anymore.

To copy current year courses forward to the build year:

  1. Log on to the District view.
  2. Click the Schedule tab.
  3. Click the Courses side-tab. The list of current year courses appears.
  4. On the Options menu, click Copy Course Catalog. The Copy Course Catalog pop-up appears.
  5. At the Copy from field, select the year from which you want to copy the course catalog.
  6. At the Copy to field, select the year to which you want to copy the course catalog (the year you are building the master schedule for).
  7. Note: After you copy a course catalog to a year, you cannot copy another catalog to that year.

  1. Click OK. Now, you can copy your school's course catalog.

You can also make any changes to the Build year catalog, such as add and delete courses, and change course attributes.

Once the district course catalog has been revised as needed for the build year, you can copy the school catalog.
