Manage your tasks

On the HomepageClosed the first page you see after logging on to Aspen and on other Pages, use the Tasks widget to manage any tasks you are responsible for. For example, if it is your job to define actions for a conduct incident, that conduct incident appears on your list of tasks. Click the incident to define an action.

Note: If the Tasks area does not appear on your Home page, click Set Preferences in the navigation bar at the top of the page. Click the Home tab, and select the Tasks checkbox.

Select to view your Open Tasks or Closed Tasks:

 

Note: If you are using the Staff view, click Detailed View at the bottom of the Tasks area or click the Tools tab, then the Workflow Tasks side-tab to view all of your open and closed tasks. On this page, you can use functions such as queries, sort orders, and snapshots to organize and manage your tasks.

To edit what appears in the Tasks area:

  1. On the Home page, in the Tasks widget, click Edit.
  2. In the Tasks per page field, type the number of tasks you want to view on each page. The higher the number, the more tasks that appear. To view your remaining tasks, click Next page Go to Next Page icon. .
  3. In the Workflows to hide field, click Add to select any workflows you do not want to see in your Tasks area. For example, as an assistant principal, you might participate in special education IEPClosed Individualized Education Program Renewal workflows. While it is helpful to view this information, you don't need to see each step as it is to be completed on the workflows for each student.
  4. Click Save.

To initiate a new task/workflowClosed a method of coordinating multi-step processes involving one or more users:

  1. On the Home page, in the Tasks widget, click Initiate. The Initiate Workflow wizardClosed a sequence of dialog boxes which walk a user through a potentially complex task, such as the Build Study Locations wizard displays Step 1.
  2. Select the workflow you want to begin. For example, if you are reporting a conduct incident, you might select the Conduct Referral workflow.
  3. Type or click Select Date icon. to select the date.
    Note: The remaining fields are specific to the task/workflow you select to initiate.
  1. Click Next. The wizard displays Step 2.
    Note: The fields on this step are specific to the task/workflow you have selected.
  1. Click Next. The wizard displays Step 3.
  2. Confirm the information, and click Finish. The workflow now appears in the Tasks area for any user who is listed as a participant in the next phase of the workflow.

You may also be able to initiate a workflow from the Options menu.

To complete a task:

On the Home page, in the Tasks widget, do one of the following:

  • To view the entire checklist for the workflow and then decide how to proceed, click the workflow name.
  • To view the details of the workflows, click Detailed View.
  • To complete the specific task listed, click the task name.

After you complete a task on your list, the system removes it and lists any new tasks for which you are responsible. To view the tasks you completed, select to view Closed Tasks.

You may also be able to initiate a workflow from the Options menu.
