Allow a role to create new announcements

An administrator must give a user the appropriate security privileges in order to create announcements on Aspen’s HomepageClosed the first page you see after logging on to Aspen. The administrator must assign the user a role with specific Security Access options selected on the Role’s details page.

To allow a role to create new announcements in Aspen:

  1. Log on to the District or Intermediate Organization view.
  2. Click the Admin tab.
  3. Click the Security side-tab.
  4. Select the checkbox for the role you want to define.
  5. On the Roles side-tab, click Details.
  6. Note: If an Intermediate Organization user wants to customize a District role, they must first create a customizable copy of the role. If you did not already create a customizable copy, click Customize to create the copy here, then proceed to edit the role as described below.

  1. Next to Security Access, click the Category drop-down to select Core.
  2. For the Portal Notice system table, select all checkboxes:
  1. Click the Category drop-down to select School.
  2. For the School system table, select the Manage school-owned resources checkbox:

For users with multiple roles that give them access to different views:

The rights listed above must be part of the role that gives the user access to the view.

If a user has two roles, such as the school principal and instructor roles, the principal role might only have access to the School view, and the instructor role might only have access to the Staff view. The principal will see the Edit link for announcements in the Staff view, but will get an error when trying to create announcements in the Staff view. This is because the role that grants rights to create announcements only has access to the School view.

It is suggested that users create announcements in the School or District view, since all users will see the announcement, regardless of the first view seen when logging on. If a user can see the Edit link for announcements in a given view, it doesn't necessarily mean he/she has rights to create announcements in that view.
