Scan student attendance in the office

Use the Daily Batch side-tab to scan attendance input sheets in the office. The Daily Batch side-tab acts as a temporary holding space for the attendance records until you click Post. Then, the attendance records become actual records for those students on that date.

To scan attendance sheets:

  1. Log on to the School view.
  2. Select Attendance > Daily Batch. The Daily Attendance Batch Input page appears.
  1. In the Date field, enter the date.
  2. Select the appropriate checkboxes to indicate the type of attendance you want to enter for the records you are about to scan.
  1. Example: If you are scanning all absent, unexcused students, select the Is absent checkbox.
  1. Scan the records. The student names appear in the list.
  2. After you scan the records, click Post. The Post Batch Attendance pop-up appears.
  3. Note: When the Attendance activity tracking preference is enabled by the district (root organization), intermediate organization or school, the required Override Reason field might appear on the Post Batch Attendance pop-up. Click , and then select a code to describe the absence. If you select Other, enter an Activity Comment to describe the reason.
  1. Do one of the following at the Duplicate records field:
    • Select Skip if you want to leave existing attendance records for students on the entry date.
      Example:  It is now 8:35, and you are scanning the attendance sheets. A student arrived at school after homeroom (8:15 a.m.), and is marked tardy in the office. Earlier in the day during homeroom (7:25 a.m.), his or her homeroom teacher marked the same student absent on the scan sheet. In this case, existing records should be skipped, since more up-to-date attendance information was entered after the scan sheet was filled out.
    • Select Replace if you want to replace existing attendance records for students on the entry date.
      Example: If a classroom teacher posted attendance from his or her homeroom in the Staff view and marked a student absent, and the student has been marked tardy on this Daily Attendance Batch Input page, you can replace the absent record with the tardy record.
  1. At the After posting field, do one of the following:
    • Select Clear posted attendance if you want to clear the batch attendance entries that were successfully posted to daily attendance. This option is useful if you selected Skip at the Duplicate Records field. Any records the system skipped remain on the page.
    • Select Clear entire batch if you want to clear all records after you post.
    • Select Do not clear if you want all records to remain on the Batch Input page after you post. You can manually delete the records later.
  1. Click Post.

    Notes: When the Attendance activity tracking preference is enabled by the district (root organization), intermediate organization or school, a user's edit privilege level setting comes into play. The Attendance History icon appears in the History column on the Daily Attendance Batch Input page. It means the student had a class or daily attendance record for that day. Click the icon to see a list of attendance activities in the Attendance history pop-up.

    • If the icon is green or yellow, the user who created or most recently edited the record has the same or lower edit privilege level as you. You can edit the record and post it in the Daily Batch.
    • If the icon is red, it means the user who created or most recently edited the record has a higher edit privilege level than you. You can view, but not edit, the attendance record. Daily Batch will not re-post the record; it will stay in the Daily Batch list.
