Run the Advanced Credit Accruals procedure

The Advanced Credit Accruals procedure balances staff’s sick/personal/vacation days at the start of the school year or at any time during the year. It creates a single Staff Accrual record that adjusts each staff member’s accrual amounts appropriately while taking into consideration staff’s:

  • maximum carryover
  • maximum balance
  • seniority

The procedure creates one accrual record to balance the accrual type (sick, vacation, etc.) for staff and lists how many records have been affected, but it does not display the results for each staff member.

To view a staff member’s accrual balance, run the Accrual Summary report.

To run the Advanced Credit Accruals procedure:

  1. Log on to the District view.
  2. Select Tools > Procedures.
  3. Click the Credit Accruals – Advanced procedure to view its details.
  4. From the Options menu, click Run. The Credit Accruals – Advanced pop-up appears.

  2. Field Description

    Date

    Type the date, or click Select Date icon. to select one. This is the date by which all the staff attendance and leave records will be considered. Attendance or leave records after this date are not included. 

    Note: This date is also for the Staff Accrual record that this procedure creates.

    Reset negative balances to 0

    Select this checkbox to reset negative accrual balances to 0 before the new calculation is made.

    For example, if the previous balance is -5, and 30 days are added:

    • If Reset negative balances to 0 is not selected, the balance is 25.
    • If Reset negative balances to 0is selected, the balance is 30.

    Credit

    Type the number of credits (days) granted.

    Example: 30

    Maximum carryover

    Type the maximum number of days staff is allowed to carry over to the next year.

    If there is no limit on the maximum carryover days, enter a very large number (such as 5000).

    Example: 20

    Maximum balance

    Type the maximum number of days a staff member is allowed to have.

    If there is no limit on the maximum days possible, enter a very large number (such as 5000).

    Example: 60

    Type

    Click this drop-down to select the type of credit being granted or deducted.

    The procedure only considers attendance and leave records that have the selected accrual type.

    Note: This type is set on the generated Staff Accrual record. Run this procedure for one type at a time.

    Reason code

    Click this drop-down to select the accrual reason (optional). This is the reason why you are crediting staff’s accrual.

    Note: This reason code is set on the generated Staff Accrual records.

    Local ID (leave empty for All)

    If running the procedure for only one person, type the person’s local ID.

    Bargaining unit (leave empty for All)

    If running the procedure for a group of people who have a specific bargaining unit, click this drop-down to select a bargaining unit code.

    Note: Run the procedure for each bargaining unit.

    Use seniority

    Select this checkbox if the number of days accrued is determined by the length of employment. This field works with the next two fields, Minimum years (inclusive) and Maximum years (exclusive).

    Note: If you select this checkbox, the next two fields are required.

    Minimum years (inclusive)

    If the Use seniority checkbox is selected, type the minimum number of years (inclusive) necessary to qualify for the days granted.

    Example: Staff with at least 5 years.

    Maximum years (exclusive)

    If the Use seniority checkbox is selected, type the maximum number of years (exclusive) necessary to qualify for the days granted.

    Example: Staff with the maximum of 10 years. Staff with 5 - 10 years will be included.
  1. Click Run. The results appear.

To view a staff member's accrual balance, run the Accrual Summary report.
