Create substitute staff members

When creating substitute staff members in Aspen, you select the staff type created for substitutes in your district to identify their primary role in the district or school.

To select the substitute staff type for staff members:

  1. Log on to the District, Intermediate Organization, or School view.
  2. Click the Staff tab.
  3. Do one of the following:
    • Find and select an existing staff member and click the Details side-tab.
    • On the Options menu, click Add.

    The Details page appears.

  1. Click the Type drop-down to select the appropriate staff type for a substitute.
  2. Click Save. Now, when you enter an attendance record for a teacher, you can select this staff member to be a substitute.
    Note: If the substitute is a long-term substitute for a teacher, you can make the substitute a secondary teacher on the sections assigned to the primary teacher. This way, the substitute can access the gradebook to take daily and period attendance for the sections they are covering.
