Create staff attendance codes

Create staff attendance codes for users to identify the type of attendance record they are entering for a staff member.

To create staff attendance codes:

  1. Log on to the District, Intermediate Organization, or School view.
  2. Click the Admin tab.
  3. Do one of the following:
    1. In the District or Intermediate Organization view: Click the Data Dictionary side-tab, and click Reference.
    2. In the School view: Click the Reference side-tab.
  1. Find and select the checkbox next to Staff Attendance Codes.
  2. On the Reference side-tab, click Codes. Any existing staff attendance codes appear.
  3. On the Options menu, click Add. The New Reference Code page appears.

  2. Field Description

    Code

    Type the code you want to create.

    Description

    Type a description for the code.

    Is absent?

    Select this checkbox if a staff member is considered absent for the day when you select this code.

    Time type

    Do one of the following:

    • Type 1 to determine this is an arrival code. The system requires the user to type a "time in".
    • Type 2 to determine this is a departure code. The system requires the user to type a "time out".
    • Type 3 to determine this is a departure and arrival code. The system requires the user to type both a "time in" and a "time out".

    Portion absent

    Type the decimal figure that indicates the portion of the day a staff member is absent.

    For example, 1.0 would indicate a full day’s absence.

    Is excused?

    Select this checkbox if a staff member’s attendance record is excused when a user enters this code.

    Disabled

    Select this checkbox to disable the code. It no longer appears in the pick list.
